Position:Receptionist/Administrative Assistant

Department: Administration
FLSA: Non-exempt
Reports To:Grants & Income Development Manager
Supervises:  No supervisory responsibility.


The Receptionist/Administrative Assistant position provides a variety of receptionist, administrative, and other related support services to HVCC as necessary. This position provides welcoming customer service to all employees, guests and clients.

Essential Functions:

  • Greets all visitors, clients and others at the main entrance of HVCC; answers all incoming company calls and forwards to appropriate employee or voice-mail.

  • Issues visitor’s and employee badges.

  • Maintains security by monitoring logbook.

  • Maintains front office volunteer list.

  • Provides administrative support to managers.

  • Arranges conference calls, schedules meetings, and interviews.

  • Prepares out mail with postage.

  • Distributes company mail daily.

  • Bulk mail organization and deliver to post office.

  • Assists with distribution of fliers and other fundraising related materials.

  • Supports all fundraising events as needed including setup.  Time flexibility is a must to attend and assist at events.

Other Functions:

  • Performs related duties as required.


  • High School Diploma/GED is required; Associate's Degree in related field is preferred.

  • Minimum one year of office related experience is required.

  • Solid working knowledge of all MS Office suite software is required.

  • Thorough knowledge of and background in various types of informational materials in a variety of formats including electronic.

  • Ability to establish and maintain effective working relationships with individuals and

    groups, both professional and non-professional, co-workers, management personnel, the public, older and/or disabled residents.

  • Ability to work in a fast-paced environment and manage multiple priorities.

  • Able to think quickly, assess a situation and make a sound decision.

  • Solid written and verbal communication, listening, organization and priority setting skills.

  • Strong commitment to working within a team environment is required.

  • Ability to work independently is required.

  • Ability to work and produce in a team environment.

  • Ability to relate well with people from diverse groups.

  • Ability to perform job with integrity and values consistent with the HVCC Mission.
